If you’re the office administrator in charge of a professional space, others are probably looking to you to set the standard for tidiness and order. You not only are in charge of organizing files and keeping data accessible, but also organizing office life. The setup of your workplace has an effect on the way that employees perceive their place in the organization. Why? Because when the office is untidy, employees feel like they are in an environment where they can slack. But when the office is efficient, it makes employees feel like it is important for them to follow suit. Office organization supplies are cheap and affordable, and can make a huge difference in productivity. Here’s how:

• Help employees find what they need. How much time do your employees waste hunting for staples or paper clips in the office stockroom? You can speed up the rate at which employees get things done by making it easy for them to locate supplies. A simple system utilizing plastic organizer bins can make all the difference in the world.

• Protect the environment. You can also help your office go green with an organizational system. What do employees in your office do with trash? Do they let it pile up on desks or on the floor? Do they throw it all in trash bins? Or do you have a system of color coded waste bins? This is a great way to get employees to start recycling. You protect the environment, and you also make it easy for employees to dispense with trash, instead of accumulating clutter. Try putting a set of plastic waste bins in every room. Employees are far more likely to use them if they are close at hand and they do not have to get up from their work to find them.

• Show employees that their employer respects them. When staff members have a welcoming, clean environment in which to work, they feel that the company respects them and gives them space to conduct business. With a messy workplace, you send a message that the company does not care what kind of environment or circumstances your employees have to work in. Employees who feel respected and appreciated are usually more efficient at what they do, which boosts productivity.

• Increase efficiency and instill company values. If your company values efficiency and order, you can instill those values in your employees by providing a good example by means of your work environment. A tidy workplace tells employees they are expected to show up to work clean, well groomed, and ready to perform at their best.

As you can see, there are numerous benefits to organizing the office. Some of those benefits are tangible while others are less so—but all are equally important to a functioning workplace. Use plastic organizer boxes in the break room, inventory room, and elsewhere in the office, and don’t forget to encourage compliance. Get employees involved in the organizational system. Take a few minutes to explain recycling bins when you place them next to workstations, and consider holding an all-hands meeting to introduce the changes to everybody in the office.
